TERMS AND CONDITIONS

Booking​

  • To book a table, therapists must first complete and submit the booking form in full. Booking will only be confirmed once payment and the required documents have been received.

  • All therapists must submit copies of their public liability insurance, food hygiene rating (where applicable) and food safety certification for all members of staff working on the stall (where applicable). These documents must be submitted at the latest by 05 May 2017.

  • Once a booking has been received, we will issue an invoice for the table fee. Please note that if the fee is not paid in line with the payment terms detailed on the invoice, the booking may be cancelled. 

Cancellation, resale and transfer​

  • Cancellation terms:  Cancellation on or after 5 May 2017 - no refund unless the event is cancelled.   

  • Tables are non-transferable.

  • Tables may not be split between more than one vendor without prior written agreement from Vitality Nutrition. This includes multiple consultants selling the same brand but running separate businesses. 

Tables

  • A booking will include two small tables and a chair (working within the confines of the furniture available in the theatre). You may bring your own 6ft table.

  • Access to electricity is limited and must be requested at the time of booking. Access will be confirmed once the booking form has been received and before any payment is accepted. It will be offered on a first come, first served basis. 

  • All tables are indoor.

  • Tables will be allocated a space in advance of the fair. 

  • We will endeavour to meet any special requirements for each therapist; however we do ask that therapists let us know about any needs as soon as possible and at least three weeks before the event. We cannot confirm that we will meet these requirements, but we will do our best! 

  • Therapists should provide a tablecloth to cover the stall table. 

  • Therapists will be welcome to set up from 6pm on the 9th May 2017 and must ensure their stall is ready by 6.45pm, ahead of opening to the public at 7pm. The event will close at 9.30pm. 

  • Therapists agree not to break down their unit until 9pm. 

  • Therapists are responsible for their own property and money at the event and no responsibility is accepted by the organizers for loss, damage or financial loss.

Promotion

The stall fee includes the following promotion: 

  • A website listing on the exhibitor’s page. This will include: the name of the organisation, up to 50 words of description, a link to the organisation's event site, and up to three social media links. Please note that social media links will only be made to business profiles and pages.

  • One post about the business on the Facebook event page in the lead up to the event. Please note to maintain a constant stream of announcements in the lead up to the event and build up interest in the event, we do not always release the names of therapists attending immediately after bookings are made.

  • A listing in our free programme which will be issued to all attendees at the event.

Health and Safety

  • All electrical items must be PAT tested. The certificates may be inspected before the event opens by the venue. They reserve the right to forbid the use of an appliance if the testing certificate is not available. 

  • We will ask you to complete a risk assessment if you are looking to bring potentially hazardous equipment onto site including knives etc.

  • Therapists are responsible for ensuring that anyone handling food and drink products on their stall adheres to food hygiene regulations including safe handling, handwashing, allergen training and keeping foods at the correct temperature. No naked flames will be permitted.

  • Children under 16 will not be permitted in the event space during event setup and break down for their own safety.
